Parts Supply & Logistics is responsible for accessories and spare parts availability for Volvo Cars markets globally. The responsibility includes the entire material flow from supplier to customer. The business is built around central warehouses in Gothenburg, US, China, as well as additional supporting warehouses around the world. The Purchase Planning group is a part of Forecast & Planning team within Parts Supply & Logistics.


What you will do:

The Inventory Specialist will play a key part of an agile team whose main responsibilities center around parts availability, efficient logistics processes, and optimal stocking levels. The successful candidate will act as an official contact person between Parts Supply & Logistics and suppliers/stakeholders (internal and external).

Position Summary

The Inventory Specialist will support the material flow and availability of aftermarket spare parts within GCS (Global Customer Service) for a wide range of spare and service parts & accessories.

The position reports to Local Supply Manager, Parts Supply & Logistics (PS&L). Position is based out of our US Headquarters in Mahwah, NJ.  Currently, we are not offering relocation assistance, fully remote work, or visa sponsorships for this role.

Primary Responsibilities

  • The Inventory Specialist’s main responsibility is to serve as the primary liaison between the US Sales Company and Central PS&L (Swedish HQ) on all topics related to spare and service parts & accessories.
  • The Inventory Specialist is the logistical contact person towards internal suppliers & partners.
  • Responsible for reporting to the US/CAN market on backordered/constraint parts, and associated research.
  • Actively work with Central PS&L team (External Stock Control) to solve issues on part supply.
  • Manage established process flows for handling of recall/campaign parts in the US/CAN.  Serve as primary contact with Regulatory & Compliance for these matters.
  • Serve as primary contact with Quality organization to identify and act upon issues impacted by parts availability.
  • Develop and maintain application charts for direct-to-dealer parts programs (tires, batteries, etc.)
  • Provide select external suppliers with forecast data to secure promotional inventory (winter wheel programs, etc.)
  • Analysis & processing of weekly new parts lists, including (but not limited to) opening parts, determining initial forecasts, identifying US/non-US parts, exchange & core part numbers.
  • Identify new parts that need MSDS, aid in obtaining needed hazmat documentation, and ensure information is posted for the market.
  • Coordinate activities to handle surplus material to/from vehicle production (Charleston Plant) and work with all parties to ensure smooth flow.
  • Ad-hoc local part number creation for Product, Accessories, Special Tools, etc., as requested.
  • Perform data analysis and recommend actions designed to optimize parts availability and efficient logistical flows, including creation of DC-DC parts transfers when needed.
  • Work on continuous improvements concerning processes & methods (best practices).


Principal Authorities

  • The Inventory Specialist has the authority to take actions that achieve the main tasks.
  • Initiate projects related to development and optimization of parts supply & logistics.
  • Send forecast information to internal & external suppliers for the purpose of satisfying market needs for spare parts.
  • Adjust & maintain optimal stocking levels through manual & system controls (MOQs, blocking/unblocking, referrals, etc.).
  • Process information on new spare parts and manage related workflows within Volvo systems.
  • Decision making authority on inventory questions regarding quality issues, regulatory compliance (recalls/campaigns), port actions, etc.


Required Qualifications

  • Bachelor’s degree (or equivalent experience) in Engineering, Supply Chain Management (or related field)
  • Minimum 5+ years of experience in inventory forecasting/purchasing planning is required.
  • Minimum 5+ years of experience in automotive parts logistics and as a contributor to SCM process improvement projects
  • Knowledge & experience in automotive industry – able to understand and communicate technical information directly to/from parts & service personnel employed by our retailer network.
  • Strong analytical skills – ability to work with data, create reports, deliver findings – are a must.
  • High proficiency with productivity & data analysis software (Power BI, MS Excel, PowerPoint, Salesforce, etc.).
  • Ability to learn internal Volvo systems, as well as proprietary web-based applications.
