Position Summary

 

Reporting to the Managing Director (CEO), the Business Operations Manager is responsible for maintaining the operational structure and governance processes for VCCL Working cross functionally, this position keeps track of action items and deliverables with an ongoing follow up, prioritization and report out on progress. This position also oversees the maintenance of the board structure and surrounding processes. Working closely with and supported by VCCL interns, this is responsible to for the oversight of tracking, follow up and report out on key corporate KPIs, ensuring that performance is in line with plans, strategic prioritizations are on track, and corrective actions are taken when needed.  Through constant follow up, organization, planning, this role will be a critical in ensuring accountability across the organization and smooth, efficient execution of operational and strategic deliverables. This position will sit on the executive management team, will participate on all key executive meetings, and work on key corporate strategies, helping to formulate the plans and also prepare presentation material for quarterly and annual planning. This position is also responsible to coordinate and prepare various presentation materials to support the Managing Director (CEO).

 

 

Position Functions

 

The following position function statements describe the general nature and level of work being performed. The position function statements reflect expectations of the fully trained, proficient incumbent who meets all performance criteria.

 

  • Working closely with all stakeholders to ideate and formalize both operational and strategic plans for VCCL, including identifying clear activities, plans and measurement.
  • Reinforce and drive the processes around the VCCL board structure, including agenda preparation, board meeting steering.
  • Consolidate, review, and prepare presentation and pre-read material for relevant meetings/reports.
  • Working with interns to gather and follow up on companywide action items and deliverables by responsible function on an ongoing basis.
  • Set up and coordinate all key meetings, ensuring relevant participation and timely notice.
  • Responsible for the coordination and maintenance of meeting minutes, with support from department interns who are preparing.
  • Responsible for the KPIs review process for all areas of the organization, referencing progress vs. plans and targets. Ensuring the follow up on actions identified to close any gaps.   
  • As a member of the Executive Management Team, responsible for maintaining action lists for the EMT and preparation for all meetings, presentations and offsites.
  • Support the Managing Director (CEO) with preparing key internal communications for employees as well as retailers.

 

 

Qualifications:

 

  • BCom / BBA (or comparable business program) designation.
  • 6+ years of relevant experience
  • Strong presentation and communication skills with the ability to effectively communicate to all levels of management.
  • Strong organization, and project management skills; ability to juggle multiple concurrent high-priority projects while meeting deadlines, being a team player, and seeking continuous improvement.
  • Strong analytical and technological skills.
  • Ability to streamline processes, add efficiencies, and utilize whatever means available to provide solid, accurate information to management.
  • Excellent written and verbal communication skills 
  • Demonstrated proficiency with Microsoft Excel and PowerPoint required.
