Executive Assistant

Volvo Cars is growing! With offices in San Francisco and Mountain View we are pushing boundaries and making advancements in autonomous driving, vehicle electrification, vehicle engineering design and so much more! Having recently brought on top talent to lead many of these areas we are seeking an experienced Executive Assistant who will be responsible for various administrative responsibilities requiring good judgment, discretion, knowledge of the organizational structure, policies and procedures of Volvo, and above all ability to handle multiple tasks.

 

Responsibilities:

•Plan appointments and events. Coordinate on and off-site meetings and events.

•Book travel and hotel arrangements, as needed.

•Complete expense reports, as needed.

•Ability to update processes with more automation.

•Manage phone calls, e-mails and other queries promptly.

•Facilitate internal communications and presentations.

•Prepare reports and presentations utilizing Excel and Powerpoint.

 

Qualifications:

•7+ years administrative assistant experience or combination of experience and college education. Global expertise or start up expertise strongly desired.

•Ability to maintain confidential data •Strong interpersonal verbal and written communication skills

•Proven expertise at Powerpoint presentation creation and Excel data manipulation and reporting

•Ability to suggest more efficient ways to increase productivity and troubleshoot malfunctions

•Works well under pressure and can skilfully manage multiple tasks successfully

•Ability to take initiative, work efficiently and effectively

•Has passion around solving complex problems

•Excellent organizational and time management skills

•Strong attention to detail and listening skills

•Able to manage multiple and varied projects in a timely and effective manner

•Able to take direction but also be a self-starter

•Experience working with different time zones, work practices, schedules, and cultural differences
