Senior Business Management Specialist

Your Mission:  

The automotive industry is fast paced and competitive, with constant innovation and new consumer expectations.  As Senior Business Management Specialist, you will play a crucial role to support the Head of Marketing and improve the daily operations of the greater Marketing team to ensure maximum preparedness and effectiveness.

 

You will be responsible for managing the day-to-day affairs of the Marketing organization, managing workflow, office requirements and solving problems. The Senior Business Management Specialist may also act as a consultant to the Head of Marketing, offering recommendations on select initiatives, budget management, staffing and how to measure progress.  While you will handle several primary responsibilities detailed below, all are focused on making time, information, and decision processes more streamlined in effort to drive business results.

 

What You Will Do:

 

  • The role is multi-faceted and includes:
    • Air traffic controller for the Head of Marketing, the Marketing Management Team and the combined monthly meetings with Marketing and Digital
    • Integrator connecting work streams that would otherwise remain siloed
    • Communicator linking the Marketing Management team and the broader organization
    • Neutral/objective collaborator when the Head of Marketing needs a wide-ranging view or diverse opinions
    • Confidant without an organizational agenda, including the ability to anticipate problems and to be especially sensitive to issues that require diplomacy
    • Fiercely protective of time, not only for the Head of Marketing, but also for the Marketing and Product teams and yourself. Effective use of everyone’s time is paramount
    • Garner authority through dedicated and genuine relationship building—and showing care for others

 

Primary Responsibilities will Include:

Optimize Marketing Operations

  • Oversee daily operations of the team through collaboration with Head of Marketing and department leaders, performing an array of tasks from managing correspondence, maintaining hard copy and electronic files, downloading and maintaining pre-reads, crafting decks & presentations, visually translating data into compelling presentations, planning and coordinating activities within the team
  • Improve current processes and coordinate organizational procedures for optimized efficiency and productivity
  • Help define new operational strategies, working with Head of Marketing and key internal stakeholders on special projects
  • Provide Marketing Management Team with recommendations to improve teamwork and workflow within the department, and with key stakeholder groups within the organization (Corp Comms, Regions, Sales, Legal, etc)

 

Management Team Coordination

  • Planning, coordinating and keeping contents of a meeting focused – including sourcing pre-read material, crafting agendas, keeping meeting minutes and consistent follow-up after the meeting to ensure all action items are addressed
  • Facilitate weekly management team meetings, ensuring a topic backlog is well defined, action items are tracked, and minutes are taken
  • Lead department preparation for all board meetings. Coordinate deck review sessions, plus ensure that materials are polished.
  • Prepare executive-level presentation material for local and global stakeholders in partnership with management team members.

 

Business Planning

  • Oversee strategic business initiatives from development through successful execution under the guidance of Head of Marketing and Marketing Management Team
  • Perform coordination, organization and presentation tasks associated with annual business planning, inclusive of Marketing and business alignment activities
  • Assist Marketing and People Experience with new hires, including documentation and onboarding, and collaborate to address and resolve all employee concerns
  • Tracking key performance indicators (KPIs) and how to measure team performance; summarizing feedback from employee survey, identifying knowledge and skills gaps and working with People Experience to help address opportunities.

Skills Requirements:

  • Bachelor’s degree in Business Administration or similar field; MBA a plus but not required
  • 7+ years of business development, corporate strategy and/or executive management experience
  • Proven experience organizing and directing multiple teams/departments
  • Proven success of project coordination / project management
  • Excellent communicator in written and verbal form; leveraging these skills to negotiate and influence
  • Expert presentation and presentation building skills (e.g. powerpoint and keynote)
  • Extremely versatile, high degree of productivity, detail oriented
  • Experience planning and leading strategic initiatives
  • Empathy / listening / understanding

Preferred Qualifications

  • Experience with data analysis and data visualization
  • Experience with budget management
  • Consulting experience with a focus on operations management
  • Nimble business mind with a focus on developing creative solutions
  • Strong project reporting skills, with a focus on interdepartmental communication
