Warranty Processing Manager

Job Summary:           

Responsible for the development and management of Volvo Car US Warranty Administration Program. Responsibilities include managing the warranty analyst team, monitoring claim processing rates, implementing system controls, developing warranty policies, developing warranty training programs for corporate and retailer personnel, supervising the warranty help desk function, and developing internal and external warranty communications. Act as a point of contact for the warranty group with other stakeholder’s e.g. technical, regulatory, customer care, sales regions, parent company and IT operating units.

 

Primary Responsibilities:

  • Manage and develop the warranty analyst team to ensure timely and accurate processing of claims.
  • Establish departmental performance objectives, assign warranty analyst areas of operational responsibility.
  • Create system logic and internal controls to monitor effectiveness, and to ensure cost control objectives are met.
  • Monitor the warranty help desk response rates and measure performance through the contact reporting database.
  • Ensure timely and accurate posting of warranty assistance and claims processing information bulletins.
  • Ensure timely internal and external communication of current relevant technical and recall information.
  • Develop and distribute up-to-date training materials for corporate and retailer personnel.
  • Ensure internal controls meet all financial and SOX audit requirements.
  • Monitor and communicate best practices information to improve warranty processing and financial performance.
  • Schedule retailer visits and offsite activities with claims analysts to elevate group performance and visibility.
  • Develop and /or supervise the development of retailer training to increase competence and accuracy in submissions
  • Ensure goals for all KPI’s, expense and service levels are achieved and maintained.
  • Continuous development of reporting to both internal and retail customers, ensuring the accuracy and relevance of data

 

Key Competencies/Abilities:

  • Bachelor’s degree with extensive knowledge of Economics, warranty and business management acquired through a minimum of 5 years of industry experience.
  • Sound knowledge of supervisory, team management, and personnel development concepts and techniques.
  • Able to travel up to 10% (domestic/international).
  • Ability to utilize PC to communicate, analyze data, track trends, and retrieve information.
  • Ability to explain complex issues in a simple manner both written and verbally.
  • Good interpersonal skills; communication and presentation competence build effective working relationships.
  • Takes initiative in raising issues and implements change.
  • Authority to develop and implement Warranty processing policy in conjunction with corporate guidelines and objectives.
  • Authority to create and implement measures to ensure business continuity for Volvo and our customers.
